How to Attach files in Outlook.com?

If you are using Outlook.com, you can easily attach files and documents from your Computer, OneDrive account, and other storage accounts to your emails and calendar events and share with your contacts. Also, you get to add pictures to your emails and calendar events. To know how to attach files to your Outlook.com account to send them to others, follow the step-by-step instructions provided below.

Steps to Attach Files from Computer

1.) Launch your Outlook program and go to either Calendar event or Compose an email.

2.) Select Attach option located at the top of the page.

3.) Now, select Computer to locate the file which you wish to attach to the email. Click on the Open option.

4.) Then, click on the option – Attach as a copy.

Steps to Share Files from OneDrive

1.) Go to a Calendar event or Compose an email and click on the Attach option located at the top of the page.

2.) Go to OneDrive – personal option and select Files.

3.) Now, select the relevant file or folder that you wish to share or send and click on the Next button.

4.) Next, select option – Share as a OneDrive link.

5.) If you want to allow others to edit the file, you will need to make changes by selecting the drop-down option and clicking on Change permissions option.

Steps to Share files from Another Cloud Storage Account

1.) Compose an email or go to a Calendar event. Click on the Attach option located at the top of the page.

2.) Now, you will need to select the Storage account from which you wish to share the file. You can add a storage account by selecting them in the left.

3.) Next, select the file or folder that you wish to send and click on the Next button.

4.) Then, simply click on the option – Share as a link.

Steps to Attach Email to Another Email

Outlook.com also lets it users attach an email to another email. To know how to attach an email to another email, follow the steps provided below.

1.) Open the message in a new window by clicking on the   icon located at the top-right corner.

NOTE: If you are unable to find   icon, you will need to expand the message by clicking on the  icon located at the upper-right corner.

2.) Arrange the window in such a manner that you are able to see both – the email list and new email.

3.) Now, you will need to drag and drop the message which you wish to attach from the email list to your new email.

Attaching a Folder

If you are looking to attach a folder in Outlook.com, unfortunately, there is no option available for that in Outlook. However, you can make use of OneDrive to share a folder.

1.) Go to https://onedrive.live.com/about/en-us/ and log into your OneDrive account.

2.) Now, on your computer, go to the folder which you wish to attach.

3.) Drag and drop the folder into your OneDrive account.

4.) Next, in your Outlook account, compose a new email.

5.) Click on the Attach option and select the folder from your OneDrive that you wish to add. Then, click on the Next button.

6.) After that, click on the option – Share as a OneDrive link.

NOTE: By default, the recipient(s) will be able to edit the files in the folder. If you don’t want to allow any editing in the files, you will need to change permissions.

  • You can change permissions by selecting More actions in your messages and selecting option – Change permissions.
  • Next, click on the option Anyone can view option and select OK.

Steps to Print an Attachment

1.) Open the email containing the attachment you wish to print.

2.) Now, choose the attachment and click on the Download option.

3.) Once downloaded, open the attachment using a relevant program or application and then print.

Steps to Remove an Attachment

To remove an attachment in the email you are composing, click on the X icon located at the top-right corner of the attached file to remove it.

Steps to Insert Pictures in an Email or Calendar Event

1.) Compose an email or open the Calendar event.

2.) Now, choose the picture icon to add a picture from your computer or OneDrive.

3.) Next, select the picture you wish to insert, and click on the Open (if you are adding a picture from the computer) or Insert (if you are adding from OneDrive).

4.) Simply drag the corner handles of the image to resize it.

NOTE: Resizing the image doesn’t affect the file size.

5.) Then, right-click on the image to see formatting options.

Tips for Sending and Receiving File Attachments

  • If you are replying to an email which has an attachment, the attachment will not be added to the reply.
  • It is recommended to not to open an attachment until and unless you trust the content and the sender. Attachment is the common way for spreading viruses. Always preview an attachment before downloading and opening it on your computer.
  • Files with long titles might be shortened in Outlook. Generally, this will not affect the content of the file.
  • You are allowed to attach files and documents calendar events which created by you or the delegate.

Error When Opening a Picture or Other Attachment

If you are receiving an error saying “We couldn’t open the image file” or “access denied” when trying to open a picture or other attachment, this means you have a non-Microsoft email address as your primary email address on your account.

To fix this issue, make sure to set your Microsoft email address as the primary email address.

1.)  Go to Manage how you sign in to Microsoft via link Click here

2.) Select Make primary option next to the alias you wish to make your primary email address.
